THE ROLE:

THE ROLE

We're looking for a proactive Operations Co-ordinator to support and strengthen our day-to-day operations as the business continues to grow.

This is an exciting opportunity for someone who thrives on organisation, enjoys solving problems, and takes pride in making things work better. You'll play a central role in keeping our Bristol office running smoothly while supporting our ESG and Social Value commitments across the business.

Working closely with teams across GAIN, you'll gain broad exposure to workplace operations, facilities management, sustainability reporting, employee experience, and business support activities. This is an ideal opportunity for someone looking to build a long-term career in operations, with clear opportunities to develop new skills and take on increasing responsibility over time.

Responsibilities

Office & Facilities Support

  • Support the effective management of UK and international office locations, helping to ensure compliance with relevant health and safety requirements
  • Assist in coordinating Health & Safety, First Aid, and Fire Marshal training programmes across the business
  • Take ownership of the day-to-day operational requirements of the Bristol office, ensuring the workplace remains safe, functional, and well maintained
  • Create and maintain office maintenance trackers, coordinating both planned and reactive maintenance activities
  • Raise and manage office purchase orders, ensuring expenditure is accurately recorded and processed
  • Monitor office expenditure against budget, highlighting variances or unexpected costs to the Lead Operations Manager
  • Support the maintenance of records and evidence relating to physical security compliance requirements across office locations
  • Help foster a welcoming and collaborative "One GAIN" culture across all offices

Sustainability & Social Value

  • Track and maintain records relating to energy consumption for Bristol office locations
  • Gather and consolidate energy consumption data across all office locations into central reporting trackers to support statutory accounts, ESG reporting, and ESOS requirements
  • Liaise with key stakeholders across the business to collect data and updates relating to ESOS action plans
  • Support the collection and reporting of information required for Carbon Reduction Plan commitments and sustainability targets
  • Help coordinate Social Value initiatives across departments, including environmental programmes, diversity and inclusion activities, and community engagement projects
  • Collate and maintain accurate records for annual reporting requirements, including the Social Value Impact Report, ESG reporting, and ESOS submissions
  • Ensure sustainability and social value data is accurate, complete, and prepared for review by the Lead Operations Manager

Workplace Experience

  • Support the day-to-day delivery of an exceptional workplace experience within the Bristol office
  • Ensure communal spaces are well presented, fully stocked, and provide a welcoming environment for employees and visitors
  • Assist with the coordination of office opening and closing procedures
  • Arrange and coordinate Bristol-based office events that support employee engagement and strengthen company culture
  • Support internal communications and employee engagement initiatives by gathering content from across the business, coordinating contributions, and preparing materials for internal newsletters and updates

General Operations Support

  • Provide administrative support across the Operations team
  • Maintain accurate operational records and documentation
  • Handle confidential and sensitive information with professionalism and discretion
  • Support operational projects and continuous improvement initiatives as required

Requirements

  • Experience in operations, office management, workplace services, or a similar administrative role
  • Highly organised with excellent attention to detail and strong administrative skills
  • Comfortable managing multiple priorities and deadlines in a fast-paced environment
  • Confident working with trackers, registers, spreadsheets, and structured documentation
  • A proactive and solutions-focused approach to problem solving
  • Strong communication and relationship-building skills, with the ability to work effectively across different teams and departments
  • A willingness to learn and develop across a broad range of operational disciplines
  • A genuine interest in building a long-term career in operations and taking on greater responsibility over time
