THE ROLE

As a Finance Assistant within our Transactional team, you are the foundational support of our financial operations. Your primary focus is the accurate and timely processing of all financial data, ensuring that our ledgers are maintained to the highest standard. You will play a vital role in the day-to-day execution of financial tasks, providing the consistent data integrity required for our teams to operate effectively.

This is a role for a detail-oriented professional who takes pride in methodical accuracy and operational reliability. You will focus on the precision of our daily inputs, ensuring full compliance and integrity across all financial records. You will provide dedicated support to both the Accounts Payable (AP) and Accounts Receivable (AR) functions, effectively balancing your time to ensure all transaction cycles are completed on schedule.

Responsibilities

In this role, you will focus on the core execution of transactional finance tasks. Your day-to-day will involve high-volume processing of invoices, expenses, and ledger entries. We are looking for a detail-oriented professional who thrives on consistency and accuracy, ensuring that every piece of financial data is captured correctly to keep our reporting cycles moving on schedule. The role will include:

Accounts Payable

  • High-Volume Invoice Processing: Accurately book and code 100+ invoices weekly across all agencies using Sage and Beanworks.
  • Spendesk Administration: Oversee daily funding management, review and validate transactions, and perform weekly bookkeeping clearing.
  • Inbox Management: Ensure inbound Accounts Payable mailboxes are up-to-date, monitoring and addressing supplier queries and invoice submissions in a timely manner.
  • Follow Standard Procedures: Adhere to established processes and detailed workflows that outline activities essential for success in the role, ensuring consistency and accuracy in day-to-day operations.
  • Service Level Agreement (SLA) Compliance: Strictly follow service level agreements (SLAs) and timelines to ensure smooth operations and timely payments.
  • Supplier Communication: Communicate with suppliers to process invoicing and payment queries. Ensure all necessary documentation is attached to invoices and reconcile purchase orders to invoices received.
  • Invoice and Credit Note Posting: Post invoices and credit notes accurately in the system, ensuring they are correctly coded and compliant with financial policies.
  • Supplier Statement Reconciliation: Prepare and review monthly supplier statement reconciliations to ensure accuracy and resolve any discrepancies.
  • Query Management: Handle internal and external queries related to accounts payable by phone and email, providing timely and professional responses.
  • Creditor Query Resolution: Investigate and resolve outstanding creditor items, ensuring accounts are properly cleared and updated.
  • Financial Compliance: Ensure that all accounts payable activities comply with relevant financial policies, procedures, and regulatory requirements

Accounts Receivable

  • Inbox and Query Management: Continuously ensure inbound Accounts Receivable mailboxes are up to date. Manage and resolve customer queries promptly through clear and professional communication.
  • Adherence to Procedures: Follow detailed ways of working as outlined in the role's blueprint, ensuring consistency and accuracy in performing daily activities.
  • Service Level Agreements (SLA) Compliance: Adhere to standard service level agreements (SLAs), meeting deadlines and ensuring the timely completion of tasks, which are integral to the success of the team.
  • Customer Billing: Complete customer billing in a timely manner to ensure all revenue is recognised in the correct financial period. Produce detailed reconciliations between the ERP system and Business Unit Billing Files to verify that all billing has been finalised.
  • Credit Control: Effectively manage credit control to ensure all overdue accounts are addressed in a timely and robust manner, maintaining cash flow.
  • Overdue Account Management: Contribute to weekly review calls, presenting a robust plan of action for overdue customer accounts to ensure timely collections and debt recovery.
  • Ad-Hoc Project Work: Assist with ad-hoc projects and tasks as required, contributing to the overall success of the finance team.

REQUIREMENTS:

  • Experience using Sage Intacct and Spendesk is highly advantageous.
  • Systems Proficiency: Previous experience using Sage Intacct and Spendesk is highly advantageous for hitting the ground running with our daily processing.
  • Excel Skills: Strong competency in Excel is essential; you should be comfortable using Pivot Tables and VLOOKUPs to reconcile high-volume datasets and deconstruct reports for ledger entry.
  • Multi-Currency Processing: Experience working within multi-currency accounting environments, specifically handling the data entry requirements for international payments and global payroll.
  • Detail-Oriented Mindset: A proven ability to maintain 100% accuracy while processing large volumes of data, with a keen eye for spotting entry errors or inconsistencies before they hit the ledger.
  • Operational Reliability: Comfortable managing transactional tasks across multiple jurisdictions and time zones, ensuring deadlines are met consistently.

Supportive Collaboration: You build professional, helpful relationships with both internal teams and external suppliers. You are the go-to person for payment updates, providing clear information and support to keep the business moving.
